These Terms and Conditions (“Terms and Conditions”) apply to all reservations for the use of The
Community Room located at 305 3rd Street, Farmington, MN 55024 (“The Community Room”),
owned and operated by Community Conversions, LLC a Minnesota limited liability company. You
(hereinafter referred to as the “Renter”), acknowledge receipt of and agree to abide by the Terms and Conditions.
Renter agrees all information on the application is correct.

 

  1. Rental. The rental fee as identified at the time of reservation (“Rental Fee”) provides private access to The Community Room to Renter and invited guests for the event’s reserved time. The Community Room is furnished with 6 tables that accommodate up to 48 chairs, 2 additional tables for serving/gift area, and 4 club chairs at no additional cost. The Community Room and Private Lot (as defined below) must be vacated by the end of the reserved time. Loitering in The Community Room and Private Lot is prohibited. Renter is responsible for all guest’s adherence.

  2. Refundable Damage Deposit Fee. A Refundable Damage Deposit (“Deposit”) in the amount of $200.00 isrequired at the time of reservation. The Deposit, or a portion thereof, will be refunded within 3 business days after the reserved event and upon inspection of the premises and adherence to the policies listed in the Terms and Conditions. If a reservation is cancelled within 24 hours of confirmation payment the Rental Fee and Deposit will be refunded. If cancelled after 24 hours only the Deposit is refundable. Reservations are final and non-transferable.

  3. Compliance with Laws. The Rentershall not use the space in any manner that would violate local, state or federal laws or regulations including the serving of alcohol. Under no circumstances shall alcohol be consumed or provided to anyone under the age of 21 or sold without a license. Renter is fully liable and responsible for the monitoring, display and consumption of alcohol in accordance with Display and Consumption laws. Barservices performed by fully licensed and insured vendors are available upon request and are strongly recommended. The Community Room is a SMOKE-FREE facility. Renter hereby indemnifies The Community Room, its employees, officers, directors, or other agents for any damages, penalties, fines,suits, actions, or other costs; the community room strongly recommends event insurance for the protection of the Renter. By declining event insurance, the Renter assumes full liability.

  4. Lost and Found. The Community Room is not responsible for the loss of any personal items. The Renter is responsible for all items left behind by guests. Items left behind will be discarded.

  5. Clean Up Requirements. The Renter shall leave The Community Room in the same condition as when the Renter entered. The Renter shall clean up in accordance with The Community Room’s cleaning procedures provided to Renter at the time of reservation. Clean up must be completed within the Renter’s reserved time. A fee (minimum of $100) will be deducted from the Deposit if the space is not adequately cleaned. The Community Room reserves sole discretion of adequate cleanliness. Renter is responsible for any damage caused to The Community Room beyond ordinary wear and tear. The Community Room shall be entitled to arrange for any necessary repairs at Renter’s expense, including such expenses that exceed the Deposit. It is the responsibility of the Renter to identify any existing damage or questionable property conditions prior to the start of Renter’s event.

  6. Prep Kitchen. A prep kitchen is available for food prepared offsite. The Community Room does not provide paper products, dishware, or utensils. All food and supplies brought in for the event must be removed from the kitchen at the end of the reserved time. Open flame food preparation and frying is prohibited within or around The Community Room. The Community Room allows Renters to hire any caterer of their choice, but strongly recommendsthat the caterer is fully licensed and insured for the Renter’s protection.

  7. Trash. The use of two (2) 32-gallon trash cans with bags is included in the Rental Fee. Renter must remove any trash that does not completely fit into the trash cans provided. A fee (minimum of $100) will be deducted from the Deposit if excess trash is left.

  8. Audio Visual Equipment.The community room has 1 - 60” Smart TV with ROKU capability for ease of connecting to wireless devices.

  9. Keys. Keys must be returned to the lock box at the end of the reserved time. There will be a $75 lost key charge per key. Failure to lock both entrance doors will result in loss of the Deposit.

  10. Maximum Guest Capacity. The Rental Fee fee allows for a maximum capacity of 75 guests. If Renter exceeds maximum capacity, Renter will take full responsibility and be liable for any fines or legal ramifications. The Community Room reserves the right to cancel an event immediately, and Renter will forfeit the Rental Fee and Deposit, if maximum capacity is breached.

  11. Bands and DJs. Bands and/or DJs are prohibited at The Community Room.

  12. Parking. There is a private parking lot available to the rear of The Community Room with ___ stalls (“Private Lot”) and a public lot immediately to the southeast of the private lot. Street parking is allowed, but carpooling for larger parties is encouraged to respect neighboring businesses rights to parking.

  13. Guest Conduct. The Community Room is adjacent to other businesses with their respective customers. The Renter will be held accountable if Renter or guest behavior becomes unruly or disruptive. The Community Room has the right to cancel immediately at any time without notice if complaints are received for noise or other disruptive behavior and Renter will forfeit the Rental Fee and Deposit. Minor children are allowed with direct adultsupervision. No pets are allowed.

  14. Release of Liability and Indemnification. Renter hereby indemnifies, waives and holds harmlessTheCommunityRoom, its employees, officers, directors, or other agents from and against all claims of whatever nature from any accident, injury, illness or damage to persons or property arising from the use of the premises, or the roads or streets providing access.This indemnity shall include all costs, claims, expenses, penalties, including attorney fees, and is in no way limited by the amount of the damage and/or security deposit. Renter’s obligations with respect to the indemnities therefore shall survive the termination of this agreement.

  15. Act of God. In the event of fire, catastrophe, or disaster that prevents a reserved event from occurring, that reserved eventshall be cancelled.TheCommunityRoom shallrefund Renter’s deposit and any fees paid within three (3) days of said cancellation. In the event severe inclement weather disrupts an event, or the government mandates a shut-down for any reason, such event may be rescheduled for the same duration one time within twelve (12) months of the original reservation date. The Community Room reserves the right to modify the Terms and Conditions as needed. It is the Renter’s responsibility to stay informed and abide by the Terms and Conditions of this contract.
